Extranet

Event-Specific Room Reservation Management
Extranet

An online reservation management tool that hotel staff use during events and promotions.

Online Reservation Management Tool

Web-based Extranet accessed during events and promotions. Manage reservation status for each event on desktop or mobile without installing anything.

Real-Time Alerts · Unified View · Block/Rate Management

Receive real-time notifications for new reservations and view them in one place. Hotels manage block inventory and rates for each event directly.

Automated Reservation Emails · Text Messages

Confirmation, change, and cancellation notifications are sent automatically to guests by email and text. Hotels do not need to send individual notices.

Key Point

MICE-Focused
Guest Features

By expanding what guests can handle themselves, the system reduces calls and emails to the hotel reservation office.

Reservation & Payment

Book, Pay, Cancel, and Change Online

Guests handle booking, payment, cancellation, and changes online themselves. Hotels no longer receive calls requesting changes.

Guest List

Enter the Actual Guest List up to Room Occupancy

Guests enter the actual staying guest list themselves, up to the room's occupancy. This reduces discrepancies at check-in.

Split Payment

Split Payments Based on Documented Budget

Guests voluntarily split the amount based on the documented budget. Example: corporate card + personal card.

Coupon Issuance

Fixed-Amount, Percentage, and Night-Based Coupons for VIPs

Provide VIPs with fixed-amount, percentage, or night-based coupons for use when booking. Organizer-supported accommodation can also be handled with coupons.

Document Issuance

Self-Print Vouchers, Invoices, and Card Receipts

Guests print vouchers, invoices, and card receipts themselves. Hotels no longer receive requests for business-trip documentation.

Result

More Than 70% Fewer Inquiry Calls

Reservation-office inquiry calls, which averaged more than 300 per event, fell to double digits after MRTS adoption. The workload decreases while efficiency improves.

For Hotels

Features Designed for Hotel Convenience

Designed so hotels can sell event inventory without risk and avoid conflicts with existing online sales channels.

  • Instant payment at booking to prevent no-shows, with hotel-policy cancellation fees applied by product
  • A dedicated event reservation page for 'our' guests, with dedicated products for sale
  • Because the page is closed, it is not publicly exposed on metasearch, OTA, or other standard online sales channels

Instant Payment · Policy-Based Fees

Payment is completed at the time of booking, eliminating no-show risk. Cancellation and change fees follow each hotel's product-specific policies.

Dedicated Pages · Dedicated Products

Sell dedicated rates and products on a private page accessible only to event participants. It can also operate as a page for the hotel's own events and promotions.

Closed · Hidden from Public Channels

Because it is not exposed on public channels such as metasearch and OTAs, it does not affect existing rate-parity policies.
